Outlook questions????

Have we got any experts in Outlook, I just need a few basic questions answered if there are!!!

Firstly, I work shifts, 7-19 and 19-7, this is worked over an 11 week rota. I would like to put all the shifts into Outlook, but not so they come up as a meeting, just as a reference! Secondly, is it then possible to input them into Outlook so that the pattern is recognised and will repeat after 11 weeks so I don't have to put the shifts in individually. Thirdly, well I'm sure there is a thirdly, I'll just have to come back to that, can't think at the moment!

Hope that makes sense, any help would be appreciated!!!

when you set the appointments, look in the "show time as"section - change this to free, and it will not appear as a meeting.

Not sure about the shift work patterns - look in reccurrance, there are some options there to duplicate entries over time, but i dont think it will handle shifts. Might be worth having a look on micrsoft office web site - you never know there might be some plug-in for outlook that enables this.

let me know if you have any other q's - I spend most of my working life in outlook :cry:

only way I can see of regenerating items is by setting up your shift patterns as tasks - you can set these to regenerate after x amount of time. You can then drag and drop your tasks onto the calendar in order to set them up as apponments.

only downside is you can put time into tasks, you'd have to have this as part of the body text - which if you dont want it as an actual timed meeting may suffice.

there may be another way, but this goes a bit beyond my expertise. You can import and export information from calendar to either comma delimited or excel format (among others).

maybe you could create a new calendar file with all your shift work on, then export this to excel/text format - then create some macro in excel/ultraedit that alters the dates for you each month, and then all you would have to do is once a month, run the macro and import that file back into your calendar

i have an outlook question thats been annoying me for years. can you have multiple users use it on one computer? my girlfriend wants to use it on my laptop, but i cant seem to have different accounts. ta muchly.

It will probably depend on what OS/outlook version and what ISP/email account system you have set up. I assume you mean you want her to have a completely seperate .pst file, and inbox so your mails dont get mixed up

At home I use WinXp with OutlookXP. I set myself and my wife up as 2 different users. When you login and run outlook it automatically creates a different user account (and therefore diferent .pst file).

You can then set each account to access different email accounts (or the same account with differnt logins), through the same modem.

I vaguely remember trying to do this with 2000, but had problems getting the user settings to accept the modem etc. WinXP handles it fine.

even windows98SE was able to handle 2 users. if you create a new user, and log in the first time, then open outlook the first time it'll open that familiar "setup your email" wizard.

but i agree with nige, XP is just the easiest yet most powerful operating system today.

ta muchly. i have been trying with 98 :x in the past but have xp now (operating system that is, outlook is 2000) i will give it a try soon. :lol:

there are still identities in outlook2k, but they are fun to play with.. so backup first..

it's all under the file menu.. but i'm on spv now so cannot confirm exactions!
